THINGS TO KNOW BEFORE SUBMITTING A REQUEST TO BOOK A SCHOOL FACILITY:
*Note: These procedures pertain to bookings for Nelson and Creston School Gym Facilities only. If you wish to book time at a school facility in Crawford Bay, Kaslo, Salmo, or Slocan Valley, please contact the school directly.
- Ä¢¹½¶ÌÊÓÆµ No. 8 welcomes community use of school facilities when they are available. Priority always goes to school functions; therefore all booking requests must be approved by the school principal. The school has the right to cancel facility bookings if there is a conflict with a school function.
- Booking requests must be received a minimum of 14 business days prior to the requested first date of use. Cancellation of an approved booking date requires 7 calendar days before the session is scheduled to occur.
- Liability Insurance is required for all facility bookings with Ä¢¹½¶ÌÊÓÆµ No. 8 (Kootenay Lake) named as an additional insured. All user groups must provide a copy of their liability insurance prior to their booking start date.

Community Use of SD8 Facilities
SD8 endorses the community’s use of school facilities and grounds on a cost-recovery basis for noncommercial, educational, recreational, and cultural programs. The Ä¢¹½¶ÌÊÓÆµ will develop and maintain procedures to ensure the community has reasonable access to schools when not required for district educational programs.

Recurring bookings are restricted to days when schools are in session.
If you are seeking to request a facility outside the scheduled times above, please contact community.use@sd8.bc.ca providing your name, contact information, intended use as well as date and time.
Please note that facility bookings are not permitted on Statutory holidays.
We do not respond to facility booking requests when school is not in session over winter and spring break.
STEPS TO TAKE TO BOOK A SCHOOL FACILITY
- Read Administrative Procedure 5160 Community Use of Facilities and Grounds. All user groups are required to abide by the provisions set out in Administrative Procedure 5160 and all of SD8's Policy and Administrative Procedures.
- Fill out the Request Form and submit it to community.use@sd8.bc.ca.
- If request is approved, you will receive a booking agreement and liability waiver. Complete and sign the form and return to community.use@sd8.bc.ca along with a copy of your insurance and payment.

Equipment Fees
Rental of Volleyball/Badminton nets are based on equipment availability and approval by the school.

Terms and Conditions of Use

Indemnification and Hold Harmless:

The User shall indemnify and hold harmless the district and any of its officers, employees, servants, agents, and contractors from any and all loss, liability, claims or expenses arising out of the use and/or occupation of the property belonging to the district by the User and any of its officers, employees, servants, agents, contractors, and volunteers, except to the extent that such loss arises from the negligence of the district.

Liability Insurance:

The User shall, without limiting its obligations or liabilities herein and at its own expense, provide and maintain the following insurances with insurers licensed in British Columbia and in forms and amounts acceptable to the district:

General liability insurance with a limit of not less than Two Million Dollars ($2,000,000.00), inclusive per occurrence for bodily injury and property damage including loss of use thereof.

Such insurance shall extend to cover the User, its officers, employees, servants, agents, contractors, and volunteers and shall include the district, its officers, employees, servants, agents, contractors and volunteers as additional insureds with respect to liability arising out of the use or occupation by the User of the property belonging to the district.

Insurance Certificate:

The User shall provide the district with evidence of all required insurance prior to the User’s use of the district’s premises. Such evidence of insurance shall be in the form of a certificate of insurance. The User shall provide certified copies of required insurance policies when requested.

User Accepts the Premises At Their Own Risk:

The User agrees that the district has made no warranties or representations respecting its suitability or condition.

Responsibility for Damages to Ä¢¹½¶ÌÊÓÆµ Facilities, Grounds and Equipment:

The User is responsible for any and all damage to the district’s premises and property arising out of the use of the district’s premises and property. The User will pay the district forthwith for the costs of any repairs or replacements of the district’s premises and property.

Responsibility for Property Left or Lost on Ä¢¹½¶ÌÊÓÆµ Premises:

The Ä¢¹½¶ÌÊÓÆµ is not responsible for any property left, lost, or stolen on district premises.
